Duration
An Hours Calculator is a simple time-management tool that helps users calculate the total number of hours and minutes worked or the duration between two times. It is particularly useful for timesheets, employee work hours, project tracking, payroll preparation, overtime calculations, and personal time management.
How an Hours Calculator Works
The calculator can determine the duration between a start time and end time. For a timesheet, users can also enter multiple work periods and subtract unpaid breaks to calculate their actual working hours.
Basic Formula
Total Hours Worked = End Time − Start Time − Unpaid Breaks
For multiple work periods:
Total Hours = Sum of All Work Durations − Total Unpaid Break Time
Example 1: Basic Work Hours
Suppose an employee starts work at 9:00 AM and finishes at 5:30 PM, with a 30-minute unpaid lunch break.
- Start time: 9:00 AM
- End time: 5:30 PM
- Total elapsed time: 8 hours 30 minutes
- Unpaid break: 30 minutes
Working Time = 8 hours 30 minutes − 30 minutes = 8 hours
The employee has worked 8 hours.
Example 2: Decimal Hours
An employee works from 8:15 AM to 4:45 PM with a 45-minute break.
Total elapsed time is 8 hours 30 minutes.
After subtracting the break:
8 hours 30 minutes − 45 minutes = 7 hours 45 minutes
For payroll or timesheet purposes, 45 minutes can be converted to decimal hours:
45 ÷ 60 = 0.75
So:
7 hours 45 minutes = 7.75 hours
Overnight Hours
An Hours Calculator can also handle shifts that cross midnight. For example, if an employee works from 10:00 PM to 6:00 AM, the calculator recognizes that the end time occurs on the following day.
10:00 PM → 12:00 AM = 2 hours
12:00 AM → 6:00 AM = 6 hours
Total = 8 hours
Timesheet Calculations
For employees who work different hours each day, the calculator can add individual daily totals to determine weekly or monthly hours.
For example:
| Day | Hours Worked |
|---|---|
| Monday | 8.0 |
| Tuesday | 7.5 |
| Wednesday | 8.0 |
| Thursday | 8.5 |
| Friday | 7.0 |
| Total | 39.0 hours |
The total for the week is 39 hours.
An Hours Calculator can therefore provide a quick and accurate way to track regular hours, break time, overtime, shift durations, and total timesheet hours. It is useful for employees, employers, freelancers, contractors, and anyone who needs to keep track of time accurately.
